Terms + Conditions

These terms and conditions (“Terms and Conditions”) govern the relationship between Carpe Diem Travel (“CDT”) and you, the Client. By planning/booking travel with Carpe Diem Travel, you agree to be bound by these terms and acknowledge that CDT acts as Sales Agent for the Travel Suppliers named in your itinerary or confirmation and is not the source or provider of the travel services and therefore is not responsible for any acts or omissions of any Suppliers. You are also agreeing to the booking terms and conditions of each Supplier selected for your itinerary. 

 

USE OF CARPE DIEM TRAVEL SERVICES. You warrant you possess the legal authority to enter into this Agreement and to make travel bookings with Carpe Diem Travel. You agree to be financially responsible for all travel bookings you make with Carpe Diem Travel, whether made on behalf of yourself or for other members of your traveling party. You warrant that all information supplied by you on behalf of yourself, members of your household, or others for whom you are authorized to transact business with us is true and accurate.

 

Carpe Diem Travel is not liable or responsible for any arrangements made independently of CDT and assumes no responsibility for costs or fees you incur for these arrangements. Hotel and airline rewards or points cannot be redeemed for travel arrangements made by Carpe Diem Travel.

 

PAYMENTS. By submitting a payment request form to Carpe Diem Travel, you authorize CDT to use your payment method to purchase travel products from our Suppliers on your behalf. EXCEPTING IN CASES OF FRAUD, YOU AGREE NOT TO FILE ANY DISPUTE WITH YOUR BANK OR CREDIT CARD COMPANY TO AVOID OR VIOLATE ANY BOOKING TERMS AND CONDITIONS OF CARPE DIEM TRAVEL OR ITS SUPPLIERS. CARPE DIEM TRAVEL WILL DISPUTE CHARGE BACKS DEEMED TO BE FRAUD AND IF NECESSARY, WILL SEEK LEGAL REMEDY ON BEHALF OF THE SUPPLIERS ASSOCIATED WITH YOUR RESERVATION. CARPE DIEM TRAVEL RESERVES THE RIGHT TO COLLECT ALL ADDITIONAL COSTS, FEES AND EXPENSES ASSOCIATED WITH SUCH ACTION, INCLUDING, WITHOUT LIMITATION, ATTORNEY FEES.

 

All payments for travel are due prior to departure according to each Supplier’s terms and conditions of booking. You understand that failure to make final payment or any violation of a Supplier’s conditions of purchase may result in cancellation of your reservations. Final payments are not automatically charged. It is your responsibility to contact Carpe Diem Travel to make final payments. Carpe Diem Travel is not responsible for cancellations due to payments made after this date. Late fees will apply.

 

In some cases, there is NO REFUND once a booking is made and under deposit. You may not be entitled to a refund if you change or cancel your travel plans after confirmation of a booking.

 

CANCELLATIONS. All cancellation requests must be sent to Carpe Diem Travel in writing via email (text messages will not be accepted). You may not be entitled to a refund if you cancel your travel plans after confirmation of booking. Third-party Supplier’s cancellation penalties will apply. Carpe Diem Travel reserves the right to charge a $100 per person cancellation fee. Cancellation fees will be charged to the credit card or other payment method you authorized to pay for travel services or deducted from the Supplier’s refund. 

 

CHANGES. All requests for changes to a booking must be sent to Carpe Diem Travel in writing via email (text messages will not be accepted). If you decide to change any portion of your confirmed arrangements prior to departure or during your trip, we will attempt to assist you. Certain bookings may not be able to be changed, and you will be subject to the Supplier’s current rates, promotions, and terms at the time of change, as well as any Carpe Diem Travel or Supplier change fees. Carpe Diem Travel reserves the right to charge a $50.00 per change fee.

 

IDENTIFICATION REQUIREMENTS. You understand that the Transportation Security Administration (TSA) requires you to carry a government issued identification card to board a flight. Acceptable identification can be found at http://www.tsa.gov/. Beginning May 7, 2025, TSA will enforce the federally mandated REAL ID requirements on all domestic travel. U.S. citizens (including children and infants) traveling to any destination outside the United States will be required to present a valid U.S. passport book (not a passport card). Passports must be valid for six (6) months past your return date. Depending upon your destination and nationality, you may need to obtain one or more visas for transit or entry, and these rules can change at any time. You are solely responsible for obtaining the proper documents for travel. Carpe Diem Travel is not responsible for lost payments made toward your trip if the proper identification documents are not obtained.

 

Passport and visa information may be obtained by contacting the Travel Advisory Section of the US State Department at (202) 647-5225 or by visiting the State Department’s website at http://travel.state.gov/.

 

TRAVELING WITH CHILDREN. Minors not traveling with both parents and/or legal guardian(s) may need to provide consent forms to travel outside the United States. Please see https://help.cbp.gov/ for additional information.

 

VACCINATIONS. You assume full responsibility for ensuring that all travelers meet all health entry requirements, obtain the recommended inoculations, take all recommended medication, and follow all medical advice in relation to your trip. Recommended inoculations for travel may change from time to time. Inoculation requirements can be found on the Center for Disease Control website

 

TRAVEL DOCUMENT ACCURACY. The name, date of birth, and gender that appears on the identification document must exactly match the same such data listed on your airline tickets and booking records. You acknowledge it is your responsibility to ensure this information is correct and that failure to comply with these requirements may result in denied boarding or an undue delay at an airport security checkpoint causing you to miss your flight, and any subsequent scheduled travel bookings.

 

WHEN YOU RECEIVE YOUR TRAVEL DOCUMENTS, IT IS YOUR RESPONSIBILITY TO REVIEW AND VERIFY ALL INFORMATION FOR ACCURACY. CONTACT CAREP DIEM TRAVEL IMMEDIATELY IF CHANGES OR CORRECTIONS ARE REQUIRED. IF YOU HAVE NOT NOTIFIED US OF NECESSARY CORRECTIONS TO YOUR RESERVATION WITHIN TWENTY-FOUR (24) HOURS OF RECEIVING YOUR TRAVEL DOCUMENTS, CARPE DIEM TRAVEL BEARS NO RESPONSIBILITY FOR ANY ADDITIONAL COSTS ASSOCIATED WITH MAKING NECESSARY CORRECTIONS.

 

TRAVEL PROTECTION/INSURANCE. Carpe Diem Travel has a professional responsibility to recommend the purchase of travel protection to protect you and your investment in travel. Travel insurance should be purchased at time of booking or no later than 14 days after deposit has been made in order to cover pre-existing conditions.

 

Cancel for Any Reason Protection can only be purchased at the time your reservation is made; it cannot be added after the initial trip deposit is received. Carpe Diem Travel will quote your insurance policy cost upon the initial trip quote.

 

While we do offer coverage through certain carriers, Carpe Diem Travel cannot compare all policies or companies in the marketplace. We advise you to do your research and find coverage that best fits your individual needs. 

 

If you HAVE PURCHASED travel protection, review your confirmation for accuracy and call us immediately if you believe you have travel protection, and your confirmation indicates declined. Failure to contact us will be considered waiver of travel protection. Your travel protection policy cost will be adjusted whenever your total package costs increase.

 

We urge you to read your policy when it arrives as it contains important information. This information includes, but is not limited to, details on the extent of coverage and procedures for making a claim.

 

If you DECLINE travel protection, you acknowledge and accept liability for any cancellation penalties, damages and/or out-of-pocket expenses incurred. You also acknowledge and accept responsibility for arranging and paying for any treatment in case of a medical emergency while traveling. You also acknowledge that you are not protected from loss in the event of any Supplier default. Please note that if you decline this type of coverage, your confirmation will note “declined” next to the travel protection section.

 

Carpe Diem Travel is not a licensed insurance broker and is not qualified or authorized to answer technical questions about benefits, exclusions, and conditions of any of the insurance offered, nor evaluate the adequacy of the prospective insured’s existing insurance coverage. Carpe Diem Travel cannot guarantee that any insurance provider will approve coverage for a claim made under the insurer’s policy and makes not representations about the extent of coverage for any policy it may offer or quote.

 

AIR TRAVEL. Your airline ticket is a contract between you and the air carrier, even if you purchase through Carpe Diem Travel. If you purchase air travel through Carpe Diem Travel, you acknowledge and agree the CDT does not have the right to control the operations of independent airlines and shall not assume any responsibility for any air schedule changes, nor additional costs or fees imposed by the airlines. 

 

In the event your flight schedule is changed or cancelled, Carpe Diem Travel will do our best to assist you with finding the best possible alternate option(s). However, CDT may be limited by the relevant airline’s conditions of carriage. If the flight time change is 2 hours or less, the airline will automatically make the change (airline policies/rules allow this). There may be additional costs to re-book a new flight should the airline cancel or make a major change to your original flight itinerary. 

 

SCHEDULE RECONFIRMATION AND CHECK-IN. It is recommended you reconfirm flight times at least 24 hours prior to scheduled departure time for domestic flights, and 72 hours prior for international flight. It is also strongly recommended you check-in a minimum of two (2) hours prior to scheduled departure for domestic flights and three (3) hours prior for international flights. 

 

BAGGAGE AND SEATS. You are responsible for knowing the rules for checked and carry-on bags, any limitations on the size and number of bags allowed. You are responsible for additional fees incurred for exceeding the allowed amount. Seat assignments are not guaranteed even after they are assigned, and Carpe Diem Travel has no control over airline seat assignments. Most airlines charge a fee to pre-book a seat.

 

MODIFICATION OF TERMS AND CONDITIONS. The Terms and Conditions may be amended or modified by Carpe Diem Travel at any time without notice. Therefore, it is essential you consult the Terms and Conditions prior to making each and every booking. Only those who have accepted the Terms and Conditions and affirmatively indicate their consent to be bound by the Terms and Conditions may make a booking with Carpe Diem Travel.
